Community Arts Partnership (CAP) Events and Partnership Coordinator
Full-Time
Manage
- Manage the contact database, correspondence, scheduling, and liaisons for all CAP current and potential NYC private clients, partnerships within New York City, and Company on tour.
- Manage and strategically plan outreach to new partnerships CAP in-person and virtual engagements throughout the NYC area and Company on Tour events, emphasizing departmental growth.
- Manage all engagements scheduling, staffing, production, and marketing requests for NYC and tour engagements in the NYC area and on tour.
- As the lead administrator for r for BH (Ballet Hispánico) pick-up company, act as company coordinator for seasonal performances creating and maintaining schedules, letters of agreements, payroll, site negotiating, artist/programming, and performance engagements.
- Under COEI's (Chief Officer of Engagement & Inclusion) direction, manage CAP NYC and CAP on tour budgets and payroll, ensuring fiduciary integrity across programs.
- Manages all travel coordination, including booking flights, ground transportation, hospitality, hotel, budgeting, and scheduling for the COEI and CAP team members on the road.
- Project Manage events, performances, and NYC/CAP on-tour residencies.
Coordinate
- Coordinate with the CAP and Artistic Leadership to create, update, and implement departmental tier and pitch decks regarding engagement activities at NYC private events, universities, community partners, and on tour.
- Support the CAP education director in coordinating and communicating the annual CAP internship program, providing supervision and mentoring opportunities for interns.
- Could you collaborate with the production team for engagement events? Under direction, will oversee and delegate, produce, direct, create, and manage coordination for CAP-related city and tour events.
Establish
- Establish, pitch, create, cultivate, and grow new partnerships and maintain established partnerships involving all CAP NYC and on-tour engagements.
- Collaborate and be the department point of contact with internal branches of the organization, i.e., Company, development, marketing, PR, and Operations regarding CAP NYC events and CAP on tour.
- Provide up-to-date content and requests to marketing, development, and artistic staff for all CAP NYC and on-tour materials, i.e., photos, sizzle reels, study guides, announcements, marketing collateral, playbills, etc.
- Travel to sites in the Metropolitan area of NYC weekly.
- Under the direction of COEI, you can be requested to travel to national tour sites occasionally, seasonally (2-3 times annually).
- Support the COEI and represent the institution with excellence at most in-person events.
Maintain
- Maintain updated curriculum, best practices, and teaching methods with CAP leadership and Artistic Leadership with all engagements within NYC and on tour.
- Please maintain ongoing project management and communication of CAP NYC and on-tour engagements with program evaluation, continuous preparations, and feedback conclusions.
- Support and collaborate with the CAP Education Manager to ensure seamless messaging and uniform language for all CAP programming materials for engagements.
- Maintain excellence in communication, intention, and service with all institutional stakeholders, i.e., students, staff, teaching artists, presenters, partners, guests, audience members, maintenance crew, executive leadership, etc.
- Participate in all in-person and virtual department and organization-wide events/activities.
- Under the direction of COEI, I was asked to attend, participate, and present at bi-monthly seasonal CAP funder meetings, development events, and political events.
- Maintain and support COEI with the calendar and new contacts in correspondence and scheduling.
Minimum Requirements
- Expertise in Sales and partnership growth.
- Producing or event planning and experience a must.
- Flexible schedule: Available for in-person NYC events. Some events are early morning, evening, and on weekends.
- Adaptable: Must have experience and be flexible to cultures, new venues, and diverse community members.
- Nimble: Must take the organization's mission and vision, consider team members' interests, and provide clear direction for departmental and team leadership.
- Conflict resolution: Ability to communicate clearly and calmly in high energy, significant inperson events. Must be able to work with diverse personalities, leadership, and work styles
- 70% travel within NYC and in-person job.
- 25% national travel.
- 100% availability for in-person NYC CAP and Institutional events on all working days.
- Successfully produce small to medium in-person and virtual events.
- Payroll and contract or agreement experience.
Education Requirements
- BA or equivenlent experience. Earned degree in communications, business administration, and or marketing a plus.
